You picked Zoho CRM because it does what you need without costing what Salesforce costs. Your leads, contacts and deals live there, and your team works through them each day. What you don't have is someone answering your website chat and WhatsApp in the evening, and getting those enquiries into Zoho before they go cold.
Klugon can act as that Zoho CRM chatbot. Once you connect Zoho, the assistant in your website chat and messaging channels can create a lead in Zoho's Leads module with the customer's name, email, phone and what they asked about. It can also search your Zoho contacts by email or phone, and add notes to a contact.
This page explains precisely what happens, because CRM integrations are easy to oversell. You'll find the exact Zoho fields Klugon writes, the setup steps from the dashboard (with the Zoho side explained), which plan you need, and a clear list of what the connection doesn't do. The headline points: a lead reaches Zoho when the assistant uses its CRM tool in a conversation, not automatically; each sync creates a new Zoho lead; and phone calls don't use the Zoho connection.
How the Zoho CRM chatbot connection works
When Zoho CRM is connected, Klugon gives its assistant three Zoho tools in text conversations.
Creating a lead in Zoho
The tool sync_lead_to_crm creates a record in Zoho's Leads module. The assistant passes the customer's name, plus their email and phone if given, and a short note or reason for the enquiry.
When lead capture is switched on for the assistant, it is prompted to collect a customer's name, email and phone when appropriate using the CRM tools. In a typical enquiry that means a Zoho lead is created once the person has shared their details. It's still the assistant's decision each time, which is why we describe it as an assistant tool rather than automatic sync.
Searching contacts in Zoho
The tool search_crm_contact searches Zoho's Contacts module by email or phone and returns the first matching record. It doesn't search Leads, so it won't find someone who exists in Zoho only as a lead, including a lead the assistant has just created.
Adding a note
The tool create_crm_note creates a note in Zoho attached to a contact, using the record ID the assistant got from a contact search. The note title is "Note" with a timestamp, and the content begins with the activity type in square brackets, such as "[note]" or "[call]", followed by the assistant's text.
Because Klugon always files these notes against the Contacts module, they work for existing contacts the assistant has looked up. They are not designed for attaching a note to a lead the assistant has just created. That lead already carries the enquiry details in its Description field.
What data goes into Zoho CRM
When the assistant creates a lead, Klugon writes these fields:
| Zoho Leads field | What Klugon sends |
|---|---|
| First Name | The first word of the name the customer gave |
| Last Name | The rest of the name, or "Unknown" if they gave one word |
| Company | The customer's full name (Klugon doesn't ask for a company) |
| The customer's email, if given | |
| Phone | The customer's phone number, if given |
| Description | The note or reason for the enquiry the assistant included |
What that means in practice:
- Each sync creates a new lead. Klugon doesn't check whether the person is already in Zoho before creating the lead. A customer synced twice becomes two leads. Zoho's own duplicate handling, if you have set it up, may help; that is on the Zoho side.
- Company holds the person's name, so the lead can be saved even for individual customers. If you sell to businesses, have your team correct it.
- Klugon doesn't set Lead Source, Lead Status, the owner or custom fields. Zoho applies its own defaults. Assignment rules you have in Zoho may or may not apply to records created through the API, so check how new API leads are handled in your account.
What doesn't go into Zoho
Klugon doesn't create or update Deals, Accounts, Tasks, Calls or Meetings in Zoho, and it doesn't convert leads. The full chat transcript isn't copied. The Zoho card in Klugon mentions updating deals: the code exists, but the tool isn't given to the assistant, so it can't actually do that today.
What comes back from Zoho
Only contact search results. Klugon doesn't import Zoho records into its own Customers or Leads lists.
Which conversations use Zoho
The Zoho tools run in Klugon's chat engine, which handles:
- the AI chatbot on your website;
- WhatsApp, Instagram, Messenger and Telegram conversations (see Instagram and Messenger automation).
Phone calls don't use the Zoho connection. Klugon's AI phone receptionist saves leads into Klugon's own Leads list, but it doesn't have the Zoho tools, so callers don't become Zoho leads through this integration. The Zapier section below covers a route that does include calls.
Setting up the Zoho CRM chatbot connection
Zoho doesn't offer Klugon a one-click sign-in. Instead you create OAuth credentials in Zoho's API Console, get a refresh token, and paste the values into Klugon. It's fiddly the first time, but it's a one-off.
What you need first
- A Zoho CRM account. Zoho's API limits page lists API credits for every edition, including Free, which gets 5,000 credits a day. Each API call normally uses one credit, so a small business assistant is unlikely to run short.
- A Klugon voice or social plan on the Business tier or above.
- To know which Zoho data centre your account is in. Look at the address you use for Zoho:
zoho.com,zoho.eu,zoho.inorzoho.com.au.
Step 1: register a client in the Zoho API Console
The Klugon setup guide says: "Register an OAuth app in the Zoho API Console."
Zoho's guide to registering a client explains the options. For connecting one Zoho account to Klugon, the Self Client type is usually the simplest. Zoho describes it as a client with no redirect URL or web interface, suited to cases where one person manages both the application and the Zoho services.
- Go to the Zoho API Console and click Get Started.
- Choose Self Client and create it.
- Open the Client Secret tab and note the Client ID and Client Secret.
Use the API Console for your own data centre, so the credentials match where your CRM data lives. Zoho's page on multi-DC support explains how data centres work.
Step 2: choose the scopes
The Klugon setup guide asks for:
ZohoCRM.modules.contacts.ALLZohoCRM.modules.leads.ALL
If you want the assistant to add notes, Zoho's documentation on creating notes also lists a notes scope, such as ZohoCRM.modules.notes.ALL or ZohoCRM.modules.notes.CREATE. Without it, Zoho rejects note requests with a scope error. Zoho's scopes page lists them all. Enter the scopes as a comma-separated list.
Step 3: generate a code and exchange it for a refresh token
The Klugon setup guide says: "Exchange the auth code for a refresh token using the OAuth flow."
With a Self Client, you do this in two parts:
- In the API Console, open your Self Client's Generate Code tab, paste the scopes, choose a time duration, add a description and create the code. This grant code is short-lived, so move straight on.
- Exchange the code for tokens by sending it, with your Client ID and Client Secret, to Zoho's token endpoint on your data centre's accounts domain. Zoho's OAuth overview explains the token types. The response includes a refresh token, which, according to Zoho, lasts until it is revoked.
Step 2 is a single web request. If you haven't made one before, ask a developer, or anyone comfortable with an API tool, to help.
Step 4: connect Zoho CRM in Klugon
- In the Klugon dashboard, open Integrations.
- Find Zoho CRM by searching or with the CRM filter.
- Click Connect. A panel opens with four fields and a collapsible Setup Guide.
- Paste the Client ID, Client Secret and Refresh Token.
- In Data Center, type the ending of your Zoho domain:
com,eu,inorcom.au. - Save.
Klugon then swaps the refresh token for short-lived access tokens on its own, so you don't need to touch it again unless the refresh token is revoked.
Klugon doesn't test the Zoho credentials when you save. Test with a conversation: open your website chat, give a test name and email, ask to be contacted, and look for a new lead in Zoho.
After connecting, the card shows Configure, with Update Credentials and Disconnect. Secrets are masked when you reopen the panel.
Step 5: switch on lead capture
In the assistant's settings, make sure lead capture is on. If you have hand-picked the assistant's tool groups, keep the "External CRM" group switched on.
Which plan includes the Zoho CRM connection
Zoho CRM is part of the feature Klugon's billing calls "Google Calendar, HubSpot and Zoho sync". It's included on:
- Voice plans: Business ($299 a month) and Scale ($499 a month);
- Social plans: Business ($249 a month) and Scale ($449 a month).
It isn't included in any chat widget plan or any Starter plan. Without it, the Zoho CRM card shows a locked button naming the feature and the Business plan, linked to Billing. Yearly prices are on the pricing page.
The trial runs for 7 days. A card is needed to start, and you are charged at the end unless you cancel.
Limits of the Zoho connection
- Not automatic. A Zoho lead is created only when the assistant uses its CRM tool in a conversation.
- No duplicate check by Klugon. Each sync creates a new lead.
- Creates leads, searches contacts. The lookup tool doesn't see the Leads module.
- Notes go on contacts. Notes are filed against the Contacts module.
- One CRM at a time. With several CRMs connected, Klugon uses one, in this order: HubSpot, Zoho CRM, Salesforce, Pipedrive. If HubSpot is also connected, Zoho is ignored.
- No phone calls. The phone assistant doesn't use Zoho.
- No credential check on save. Mistakes show up when the assistant first tries to sync.
- Phone searches need an exact match of the number as stored in Zoho.
What the Zoho CRM chatbot doesn't do
- It doesn't sync every Klugon lead automatically.
- It doesn't create or update Deals, Accounts, Tasks, Calls or Meetings.
- It doesn't convert leads into contacts.
- It doesn't import Zoho data into Klugon.
- It doesn't replace Zoho SalesIQ or Zoho's own chat tools. Conversations stay in Klugon's inbox.
- It doesn't trigger Zoho workflows directly. A workflow rule you set up in Zoho may react to a new lead, but that's Zoho's behaviour.
- It doesn't run on phone calls.
Getting every lead into Zoho with Zapier
If you need every enquiry in Zoho, from every channel including phone calls, use Klugon's Zapier connection alongside or instead of the native one. Klugon sends a lead.created event to Zapier whenever a lead is created anywhere, carrying the name, email, phone, intent, source, notes, conversation ID and marketing consent. A Zap can turn that into a Zoho lead, with your own Lead Source and owner.
The Zapier connection also needs a Business plan or higher. If you use both routes, decide which one creates leads, so you don't create each person twice.
A sample conversation with Zoho CRM connected
This is a sample conversation for a made-up solar installer, Greenway Solar. It shows the order of steps, not a real customer.
The Greenway team then sees Helen in Zoho's Leads module and works the lead as usual.
Practical tips
Make the lead trigger clear
In the assistant's instructions, say what counts as a lead, for example "anyone asking for a quote or a survey". That makes it more likely the assistant collects details and calls the CRM tool.
Collect the company where it matters
If you sell to businesses, ask the assistant to collect the company name and include it in the note, so it lands in the Description. Your team can then fix the Company field.
Use Zoho's duplicate handling
Because Klugon doesn't de-duplicate, look at Zoho's duplicate-check options for leads. If a rule blocks duplicates outright, Klugon's sync for that person will fail; Klugon's own lead is still saved.
Keep Klugon's Leads list in the routine
Every lead from every channel is in Klugon's Leads list. Zoho has the ones synced from chat and messaging. Add Slack notifications if you want a ping for each new lead.
Zoho compared with Klugon's other CRM connections
| CRM | What a synced lead becomes | Matching before writing | Klugon plan |
|---|---|---|---|
| Zoho CRM | A new lead | None | Business and above |
| HubSpot | A contact | By email | Business and above |
| Salesforce | A new Lead | None | Scale |
| Pipedrive | A person, plus a deal if they have no open one | Email, then phone | Business and above |
See HubSpot, Salesforce and Pipedrive for details, or every connection on the integrations page. For how the assistant qualifies enquiries, see the AI sales assistant.
Frequently asked questions
Does Klugon sync every lead to Zoho CRM automatically?
No. The assistant creates a Zoho lead when it uses its CRM tool in a chat or messaging conversation. If you need every lead from every channel, use the Zapier connection, which fires on each new lead.
Which Zoho module does Klugon write to?
New leads go into the Leads module. Searches look in Contacts, and notes are attached to contacts.
Will Klugon create duplicate leads in Zoho?
It can. Each sync creates a new lead without checking for existing records. Zoho's duplicate settings can help, depending on how you configure them.
Do phone calls create Zoho leads?
Not through this integration. The AI phone receptionist saves leads in Klugon only. Zapier's lead.created event includes phone leads, so that's the route for calls.
Which data centres are supported?
The Data Center field in Klugon lists com, eu, in and com.au, matching the ending of your Zoho address. Use the API Console for the same data centre when you create your credentials.
Does it work with Zoho CRM's free edition?
Zoho lists API credits for the Free edition (5,000 a day), so API access is available there. Klugon itself needs a voice or social Business plan or higher.
Why do notes fail?
The most likely cause is a missing notes scope. Klugon's setup guide lists the contacts and leads scopes; Zoho's notes API needs a notes scope too. Generate a new code with that scope added and get a fresh refresh token.
Can the assistant update deals in Zoho?
No. It can create leads, search contacts and add notes to contacts. Deal updates aren't available to the assistant.
For businesses that run on Zoho, the connection gets chat and messaging enquiries from Klugon's AI receptionist into your Leads module while the customer is still talking. Add Zapier if you need phone enquiries there as well.
