Ruby's live receptionists are good at what they do. A real person answers with your business name, greets regular clients warmly, screens the call and puts it through to you if you're free. The catch most owners mention is the bill: Ruby charges by the receptionist minute, the plans start at 50 minutes a month, and a busy week can push you into overage.
If you're looking for a Ruby receptionist alternative, you have two kinds of options. One is another live answering service at a different price point. The other is an AI receptionist, which answers every call with an AI voice for a flat monthly fee. Klugon is the second kind.
This page compares the two on the same criteria, using Ruby's own pricing page and FAQs as of October 2026. It also says clearly what Klugon can't do that Ruby can, because some of those gaps decide the question on their own.
The short verdict
Choose Ruby if every caller should speak to a person, if calls often need to be put through to you, or if you handle health information and need a HIPAA service with a Business Associate Agreement. Ruby's receptionists can transfer calls, make outbound calls for you and handle callers who are upset or confused in a way an AI can't match.
Choose Klugon if most of your calls are routine (hours, prices, availability, bookings, new enquiries) and you want them answered at any hour without paying per minute. Klugon's voice plans start at $99/month with 1,000 minutes included, and the same assistant can answer WhatsApp, Instagram, Messenger and website chat if you add those products.
A middle path some owners take: keep Ruby for daytime calls that need a person and use an AI for evenings and weekends. Your carrier's conditional forwarding decides which service gets which calls.

What Ruby is
Ruby is a US virtual receptionist service. Live receptionists answer your calls 24 hours a day, 365 days a year, using your business name and the call-handling instructions you set during onboarding. Ruby's FAQ is direct about it: Ruby "is not an automated virtual receptionist", and it "uses technology to support receptionists, not replace them". Its pricing page describes optional AI enhancements included in every plan at no extra cost.
Ruby also sells live website chat, staffed by people, as separate plans or as a bundle with a receptionist plan. There are iOS and Android apps for checking messages, updating your status and requesting outbound calls. Ruby advertises 5,000+ integrations.
What Klugon is
Klugon is an AI receptionist for small businesses. On the phone, an AI voice answers, talks to callers in one of nine languages, answers questions from your own information, books appointments and takes the details of anyone who needs a person. Every call lands in your inbox.
Klugon has three separate products that share one assistant, one set of knowledge and one inbox:
- AI voice agent for phone calls and voice on your website;
- AI social agent for WhatsApp, Instagram and Messenger;
- AI chatbot for your website.
The company behind Klugon is based in Dresden, Germany.
Ruby receptionist alternative pricing: minutes vs a flat plan
How Ruby charges
As of October 2026, Ruby's virtual receptionist plans are:
| Ruby plan | Monthly price | Works out per minute |
|---|---|---|
| 50 minutes | $250 | $5.00 |
| 100 minutes | $395 | $3.95 |
| 200 minutes | $720 | $3.60 |
| 500 minutes | $1,725 | $3.45 |
How minutes are counted matters as much as the price. According to Ruby's FAQ:
- minutes are billed in 60-second increments, with each call rounded up to the next minute;
- hold time is included;
- once a call is transferred to you or to your voicemail, the talk time after that isn't counted;
- outbound calls count, including the receptionist's time emailing you the result.
Extra minutes are billed at your plan's overage rate, and Ruby sends alerts at 85% and 100% of your allowance. The overage rate itself isn't published on the pricing page, so ask for it before you sign up.
Live chat is priced separately: $143/month for 10 chats, $335 for 30 and $520 for 50, with bundled chat prices of $115, $268 and $416 when combined with a receptionist plan. Ruby says there are no fees for activation, onboarding, setup or customisation.
How Klugon charges
Klugon's AI voice agent is a flat monthly plan:
| Klugon plan | Monthly | Billed yearly (per month) | Voice minutes | Phone numbers allowed |
|---|---|---|---|---|
| Starter | $99 | $79 | 1,000 | 1 |
| Business | $299 | $239 | 3,600 | 3 |
| Scale | $499 | $399 | 6,000 | unlimited |
Each phone number is $9/month. Extra minutes are $15 per started 100 minutes, which is $0.15 a minute. The website chatbot starts at $49/month for 100 conversations, and the social agent at $79/month for 300 conversations. Full details are on Klugon's plans.
A worked cost example
Assumptions, so you can use your own numbers: a small practice gets 120 calls a month. Each call takes about 2 minutes of receptionist time on Ruby (answering, screening, taking a message or transferring), and about 3 minutes end to end with an AI that handles the whole call.
- Ruby: 120 calls at 2 minutes is 240 minutes. The 200-minute plan at $720 plus 40 overage minutes at Ruby's unpublished rate, or the 500-minute plan at $1,725. Rounding each call up to the next minute pushes the real figure higher.
- Klugon: 120 calls at 3 minutes is 360 minutes, inside the 1,000 on Starter. $99 plus a $9 number is $108 a month.
Now take a solo consultant with 25 calls a month at 2 minutes each. That's 50 minutes, which fits Ruby's $250 plan exactly. Klugon is still $108, but the gap is smaller, and for some people a human on every call is worth $142 a month. Our guide to what a receptionist costs puts both against hiring someone.
Who answers, and how it sounds
Ruby's receptionists
A trained person answers, follows your instructions and can use judgement. They can tell when a caller is distressed, recognise a regular and adapt. Ruby's FAQ says Spanish bilingual service is included at no extra cost; check the FAQ for the hours it covers.
Klugon's AI voice
An AI answers. You choose one of ten voices, write the greeting and set the language: English, German, French, Spanish, Italian, Portuguese, Dutch, Japanese or Arabic. Callers can interrupt it mid-sentence. It answers whenever your plan is live and your number routes to it, including nights, weekends and bank holidays, and it doesn't take breaks.
It is still an AI. It will answer routine questions well when you've taught it properly, and it will get unusual calls wrong more often than a skilled person would. That's why the next section matters.
Handover to you or your staff
How Ruby transfers calls
Ruby's FAQ says its receptionists "can transfer calls to any phone number you wish". They can put the caller on hold, check whether you'll take the call, and transfer immediately if you will. Otherwise they take a message, which you get through the app, by email or by text.
What Klugon does instead of transferring
Klugon can't put a caller through to anyone. When a caller needs a person, the AI takes their name, number and reason, tells them someone will get back to them, and the call appears in your inbox. On WhatsApp, Instagram and Messenger, the conversation is marked "Needs a person" and you can reply from the inbox.
On the Business plan and above, new leads, bookings and handovers can be posted to Slack or sent through Zapier. Klugon doesn't send you email or text alerts.
A sample call; the business is made up.
With Ruby, the receptionist would have checked whether Dr Okafor was free and, if so, put Tom straight through. If your callers expect that, Klugon will feel like a step down. Our guide to handing calls to staff helps you decide which calls must reach a person and which can wait for a callback.
Appointment booking
Ruby's approach
Ruby's FAQ says its receptionists will schedule appointments for your callers, after Ruby has reviewed your online calendar system to confirm it fits their guidelines. A person reads your calendar and books, so the time spent counts towards your minutes.
Klugon's approach
Booking is included on every voice plan and doesn't use extra minutes beyond the call itself. The AI books into Klugon's built-in calendar, using:
- your opening hours and timezone;
- each service's length;
- which staff member offers which service, with clashes checked per person;
- slot intervals, buffers after bookings, minimum notice and how far ahead people can book;
- closed dates.
The caller gets a booking reference on the call. In chat and messaging the AI can also reschedule and cancel; on the phone it can cancel. On Business and above, it can check Google, Outlook or Apple calendars and send Calendly links, after setup. Klugon doesn't send confirmation or reminder messages afterwards. See AI appointment booking for the detail.
Channels beyond the phone
Ruby's live chat
Ruby's chat is staffed by people, priced per chat in bundles from 10 to 50 a month. Its pricing page also lists a call-connect feature on chat plans. WhatsApp, Instagram and Messenger aren't listed on Ruby's pricing page as of October 2026.
Klugon's chat and messaging
Klugon's other channels are AI, priced per conversation rather than per chat minute:
- Website chat: a text chat widget you add with one script tag. Voice is on your Klugon public page, which you can link to or embed with an iframe. See the AI chatbot for websites.
- WhatsApp: through your own Meta WhatsApp Business account.
- Instagram and Messenger: through your Facebook Page; Instagram needs Meta's app review before the public can message it. See Instagram and Messenger automation.
All of these land in one inbox with the phone calls. Klugon doesn't send SMS.
What each one knows about your business
Ruby learns from the call-handling instructions you set during onboarding, and you can update your status in the app for temporary changes (out of the office, on holiday).
Klugon learns from what you give it. You can upload PDFs, Word documents, text and CSV files, paste FAQs and policies, import web pages or scan your homepage plus up to 7 key pages, and add links the assistant can share. It answers from that material and hands over when it doesn't know. Changing what it says takes effect as soon as you save.
Messages, records and reports
Ruby sends messages through its app, by email and by text, and shows an up-to-the-minute record of your monthly usage in the app and online.
Klugon puts every call and conversation in your inbox, with search and filters by channel and status. Klugon doesn't record calls, and call logs may only show the AI's side of the conversation, so don't expect full two-sided transcripts. The analytics page shows conversations, calls and minutes, bookings, leads, busiest hours and how many conversations were handled without a handover, with CSV export.
Setup and keeping your number
Getting started with Ruby
Ruby's onboarding specialists walk you through setting up your call-handling instructions. You can forward your existing number to Ruby, and Ruby's FAQ says you can often port your number to them so they host it. There are no setup fees.
Getting started with Klugon
Klugon is self-serve. Sign up, add your business details, services, staff and knowledge, pick a voice and greeting, and test it in your browser. A phone number can only be added once the 7-day trial ends. Then you can:
- buy a new number at $9/month;
- forward your existing number to a dedicated Klugon number using your carrier's call forwarding, also $9/month;
- bring your own SIP trunk, on Business or above.
Klugon doesn't port numbers. Our guide to keeping your number with call forwarding explains the forwarding route.
Contract, trial and cancelling
Ruby: no long-term contract. First-time users get a full refund if they cancel within 21 days of purchase or before using 500 receptionist minutes or 50 billable chats, whichever comes first. After that, cancelling by phone or email takes effect at the end of the current monthly billing period.
Klugon: a 7-day free trial per product. A card is required, and you're charged when the trial ends unless you cancel first. Pay monthly, or yearly at 20% less. During the trial you test the assistant in the browser; phone numbers activate when the trial ends.
Health information and compliance
Ruby offers HIPAA-compliant receptionist and chat services as an opt-in, at no extra charge, with a signed Business Associate Agreement. Under that service, messages aren't emailed or texted but made available through a secure method.
Klugon is not HIPAA compliant and doesn't sign BAAs. It has no SOC 2 or ISO 27001 certification. It is operated by a German company under the GDPR, with transfers to providers covered by standard contractual clauses, as listed in the privacy policy. If you're a US healthcare provider handling protected health information, read the HHS guidance on HIPAA and keep those calls with a service that signs a BAA.
How to tell whether an AI can take over from Ruby
You don't have to guess. Run a two-week comparison before you cancel anything, and judge it on your own calls rather than on anyone's marketing, including ours.
What to look at in your Ruby history first
Ruby's app and online portal show your usage. Go through a typical month and put each call into one of four groups:
- Questions with a fixed answer: opening hours, parking, prices, what to bring, whether you do a particular service.
- Bookings and changes: new appointments, cancellations, "can I move Thursday to Friday?".
- New enquiries: someone who wants a quote, a consultation or a call back.
- Calls that needed you: transfers, complaints, sensitive conversations, anything where the receptionist had to check with you.
If the first three groups make up most of the month, an AI can probably handle the bulk of your calls. If the fourth group is large, keep a person on the line for at least part of the day.
What to measure during the trial
Once a Klugon number is live, perhaps on after-hours forwarding only to start with, check these each week:
- Handled without a handover. Klugon's analytics page shows the share of conversations the assistant finished on its own.
- Questions without a good answer. The insights page lists questions the assistant struggled with. Each one is a gap in your knowledge base to fill.
- Bookings made. Compare them with the bookings your Ruby receptionists made in the same hours.
- Callbacks and how fast you made them. Every flagged call is someone waiting. If your team can't call back the same day, that is a reason to keep Ruby for those hours.
Two weeks of this tells you more than any comparison table, including the one on this page.
Where Ruby is the better choice
- Every caller should talk to a person. That is Ruby's whole service, and an AI can't replace it.
- You need calls put through. Ruby screens and transfers to any number. Klugon only takes details for a callback.
- You handle health information in the US. Ruby offers a HIPAA service with a BAA. Klugon doesn't.
- Your callers are often upset or vulnerable. Family law, funeral services, counselling and similar calls benefit from human judgement.
- You want calls made on your behalf. Ruby's outbound call assist lets receptionists call people back for you. Klugon doesn't make outbound calls.
- You want messages by text. Ruby can text you messages. Klugon has no SMS and no email alerts.
- You want to port your number. Ruby can often host your number. Klugon uses forwarding.
- You get very few calls. At 20 to 40 short calls a month, the price gap narrows and a person may be worth it.
Where Klugon is the better choice
- You get many routine calls. Flat minutes mean 300 calls cost the same as 100, within your allowance.
- You want to stop watching a minute counter. 1,000 minutes on Starter is a lot of calls for most small businesses.
- Booking is the main job. Built-in booking with service lengths, staff and buffers is part of every plan.
- Customers also message you. WhatsApp, Instagram, Messenger and website chat can run on the same assistant into one inbox.
- Your callers speak languages other than English and Spanish. Klugon answers in nine languages.
- You serve customers in Europe. Klugon is run from Germany, under the GDPR.
- You'd rather edit the answers yourself. Change prices, hours or policies in the dashboard and the assistant uses them from then on.
For the wider decision, see AI receptionist vs human receptionist. If you want to stay with people but pay less, a Moneypenny alternative comparison covers another live service, and Klugon vs Smith.ai covers a provider that offers AI and humans together.
How to switch from Ruby to Klugon
- Check your Ruby usage. Look at a few months of minutes and messages in the Ruby app. Note how many calls were transferred, how many were messages and how many were routine questions.
- Decide which calls must still reach a person. If a lot of your calls are transfers, Klugon on its own won't suit you. Consider using it only for after-hours calls.
- Start the Klugon trial. Add your opening hours, services with lengths, staff and closed dates.
- Copy your Ruby call-handling instructions. Your greeting, FAQ answers, screening rules and intake questions go into Klugon's knowledge base and assistant rules.
- Set up how you hear about callbacks. Check the inbox daily, or on Business and above connect Slack or Zapier for new leads and handovers.
- Test in the browser. Run your most common calls, then the awkward ones. Fix gaps.
- Add a number after the trial. Forward your main number, or start with after-hours forwarding only, so Ruby keeps daytime calls while you compare. The after-hours answering service page explains that set-up.
- Cancel Ruby when you're ready. If your number is ported to Ruby, arrange to move it back to a carrier first. Cancellation takes effect at the end of the billing period.
Frequently asked questions
Is Klugon a good Ruby receptionist alternative?
For routine calls, bookings and new enquiries, yes, and it costs much less at most volumes. For callers who must reach a person, no: Klugon can't transfer calls and has no human receptionists.
How much cheaper is Klugon than Ruby?
Ruby starts at $250/month for 50 receptionist minutes, as of October 2026. Klugon's voice Starter is $99/month for 1,000 minutes, plus $9/month per phone number. The saving grows with call volume.
Can Klugon transfer calls like Ruby?
No. Klugon takes the caller's details and flags the conversation for your team to call back. Ruby's receptionists can transfer calls to any number you choose.
Does Klugon sound like a real receptionist?
It uses natural-sounding AI voices and callers can interrupt it, but it is an AI, not a person. Some callers will notice, and you can say so in the greeting.
Is Klugon HIPAA compliant like Ruby?
No. Ruby offers a HIPAA service with a BAA. Klugon doesn't, so US healthcare providers handling protected health information should not use Klugon for those calls.
Can I keep my number if I leave Ruby?
Yes. Forward it to a Klugon number once your trial ends. If Ruby hosts your number, move it to a carrier first; Klugon doesn't take number ports.
Can I use Klugon and Ruby together?
Yes. Many carriers let you forward calls by time or when unanswered, so you could send daytime calls to Ruby and evening calls to Klugon. Check your carrier's forwarding options.
Is there a free trial?
Yes, 7 days per product, with a card required. You're not charged if you cancel before it ends. Phone numbers activate after the trial; until then you test in the browser.
If Ruby's people are what your callers value, they're worth keeping. If you're paying Ruby mostly to answer "are you open Saturday?", try the AI phone receptionist on your own calls before your next renewal.
