Mailchimp chatbot lead capture that respects consent

Klugon adds leads to one Mailchimp audience, but only in a way that matches what each customer agreed to. People who said yes to marketing get Mailchimp's confirmation email first; everyone else is skipped or kept as a transactional contact.

Many of the people who chat with a small business would happily hear about its offers, and some would not. Mailchimp chatbot lead capture done properly means telling those groups apart. Klugon's Mailchimp connection adds leads from your assistant to one Mailchimp audience, and it uses each customer's own answer to decide how they are added.

Someone who clearly agrees to marketing emails is added as pending, so Mailchimp sends them a confirmation email before they're subscribed. Someone who doesn't is left out, or added as a transactional contact who receives no campaigns, depending on the option you choose. Klugon connects to Mailchimp directly with an API key, not through Zapier.

This page covers exactly what is sent, how consent is decided, the setup steps, the plan you need and the things the connection doesn't do.

What the Mailchimp connection does

Klugon is an AI receptionist that answers your website chat, WhatsApp, Instagram, Messenger and, on the voice plans, phone calls. When a customer shares their details, the assistant saves them as a lead. If the lead includes an email address, the Mailchimp connection adds or updates that person in your chosen audience.

For each lead it sends:

  • Email address, which is how Mailchimp identifies the contact.
  • First name and last name, split from the name the customer gave, into the standard FNAME and LNAME fields.
  • A tag called "Klugon", so you can see where the contact came from and build segments.
  • A status for new contacts, either pending or transactional, as explained below.

Leads without an email address are skipped. Phone numbers, notes, the channel and what the customer asked about aren't sent to Mailchimp.

Consent is the heart of this connection, so it's worth being precise about it.

When a customer counts as agreeing

When the assistant saves a lead, it records whether the customer explicitly said yes to receiving marketing emails. It is told never to assume this. A customer asking for a quote, booking an appointment or giving their email so you can reply is not agreeing to marketing.

The assistant doesn't bring up your newsletter on its own initiative. If you want it to ask, add a short line to the assistant's custom instructions, for example to offer to add people to your monthly offers email once their question is answered. Only a clear yes is recorded as consent.

Some leads never carry consent:

  • Leads taken on phone calls, because the phone assistant doesn't record marketing consent.
  • Leads you add by hand on the Leads page.

Customers who said yes: pending and double opt-in

Leads who agreed are added with the status pending. Mailchimp then sends them a confirmation email with a link, and they only become subscribed when they click it. Mailchimp's guide to double opt-in explains how this works on its side.

This gives you a record that the person confirmed with their own email address, which is stronger evidence of consent than a line in a chat.

Customers who didn't: your choice

For leads who didn't agree, the Leads who didn't agree to marketing setting on the Mailchimp card gives two options:

  • Don't add them. The default. The lead stays in Klugon and nothing is sent to Mailchimp.
  • Add as transactional contacts (no marketing emails). The person is added to the audience with the transactional status. Mailchimp doesn't send marketing campaigns to transactional contacts, but having them in the audience can be useful if you use Mailchimp for service messages or want a complete list in one place.

If you're unsure, leave it on Don't add them.

People already in your audience

If the email address is already in the audience, Klugon doesn't change that person's subscription status. Someone who unsubscribed stays unsubscribed, and someone who is subscribed stays subscribed. Klugon updates their first and last name to match the new lead and adds the Klugon tag.

A sample conversation

The following is a made-up exchange for a fictional bike shop, Northgate Cycles, whose owner asked the assistant to mention the shop's newsletter.

Chris is saved as a lead with consent, added to the audience as pending and receives Mailchimp's confirmation email. Had Chris said no, or not answered, the lead would have been saved without consent and handled according to your setting.

Setting up the connection

You'll need a Mailchimp account with an audience, a Mailchimp user role that can create API keys, and access to Klugon's Integrations page.

Step 1: create an API key in Mailchimp

Mailchimp's guide about API keys has the full steps. In short, open your profile, go to Extras, then API keys, and create a key. Give it a name such as "Klugon" and copy it straight away, because Mailchimp only shows it once.

The key ends with a short code after a dash, such as -us21. Klugon uses that to reach the right Mailchimp server, so copy the whole key.

Step 2: find your Audience ID

The Audience ID is a short code, not the audience's name. Mailchimp's guide to finding your Audience ID shows where it lives: in your audience's settings page. Klugon's dashboard hint points to the same settings area.

Step 3: connect in Klugon

  1. Open Integrations in the Klugon dashboard and find the Mailchimp card.
  2. Paste the API key and the Audience ID.
  3. Choose what happens to leads who didn't agree to marketing.
  4. Click Connect.

Klugon checks the key and audience with Mailchimp before saving. If the key is wrong or no longer active, or the audience can't be found, you'll see a plain message telling you which.

Step 4: send a test

Once connected, the Send test button checks that Klugon can still reach your audience. It doesn't add a contact, so your audience stays clean. To see a real contact arrive, chat with your own assistant, give an email address you control and say yes when it offers marketing emails. You should get Mailchimp's confirmation email.

Step 5: check your confirmation email

Because consented leads go through double opt-in, the confirmation email is the first thing they see from you. In Mailchimp, review the audience's signup forms and confirmation message so they carry your business name and say what people are signing up for.

Which plan includes Mailchimp

Mailchimp is one of the team and CRM connections on the Business and Scale tiers of the AI voice agent and the AI social agent:

  • AI voice agent Business or Scale: included.
  • AI social agent Business or Scale: included.
  • AI chatbot on its own, at any tier: not included.
  • Starter tiers: not included.

The free trial on a qualifying plan counts. Current prices are on the pricing page. Mailchimp's own plan limits, such as how many contacts your plan allows, still apply.

Using the contacts in Mailchimp

Once leads are in your audience, everything else happens in Mailchimp. Klugon doesn't send emails, start campaigns or trigger automations itself.

Segment by the Klugon tag

Every contact Klugon adds or updates gets the Klugon tag. Build a segment on that tag to see everyone who came through your assistant, or to send them a welcome email from Mailchimp.

Mailchimp automations are yours to set up

If you want a welcome series for people who confirm, set it up in Mailchimp using its own automation tools, triggered by the tag or by joining the audience. Klugon's part ends when the contact is added; the timing, content and rules of any emails are set in your Mailchimp account.

Look at the Klugon tag now and then

Every few weeks, open the segment of contacts tagged Klugon and look at how many confirmed. A large number of pending contacts who never confirm usually means the confirmation email is going to spam or doesn't make clear who it's from. A small, confirmed list from your assistant is worth more than a long list of people who never opened anything.

Keep transactional contacts out of campaigns

If you chose to add non-consenting leads as transactional contacts, Mailchimp keeps them out of marketing campaigns. Don't change their status to subscribed by hand unless they have agreed to marketing some other way.

Where leads come from

Chat and messaging

Leads from your website chat, WhatsApp, Instagram and Messenger can carry consent, because the assistant can ask the question and record the answer. See the AI chatbot for websites and WhatsApp AI chatbot pages for how those channels work.

Phone calls

Leads from the AI phone receptionist are sent to Mailchimp only if they include an email address, and they never carry consent. With the default setting they're skipped; with the transactional option they're added as transactional contacts.

Manual leads

Leads you add on the Leads page are treated the same way as phone leads: no consent, so skipped or transactional.

Writing the newsletter offer

If you'd like the assistant to offer your email list, the wording of your instruction shapes how often people say yes and how clear their answer is.

Ask after helping, not before

Tell the assistant to answer the customer's question or finish the booking first, then offer the email list. People who have just been helped are more open to it, and the offer doesn't get in the way of what they came for.

Say what they'll get

"Would you like our monthly email with new menu dates and offers?" gives the customer something to decide on. "Can I add you to our list?" doesn't. Name the content and how often it arrives.

Make no an easy answer

Ask the assistant to accept a no politely and carry on. A customer who feels pushed is unlikely to confirm the email anyway, and a clean no keeps your audience full of people who want to hear from you.

Keep it to one ask

Instruct the assistant to offer the list once per conversation. Asking again after a no is irritating and doesn't change the answer.

Troubleshooting

Nobody is arriving in the audience

Check the lead in Klugon first. If it has no email address, it won't be sent. If the customer didn't agree to marketing and the setting is Don't add them, it won't be sent either. Then press Send test to confirm Klugon can still reach the audience.

Contacts are pending but never subscribed

That means people haven't clicked the confirmation link. Check that Mailchimp's confirmation email isn't landing in spam and that it clearly names your business.

The key stopped working

API keys can be disabled or deleted in Mailchimp, and some account changes revoke them. Create a new key and paste it into the Mailchimp card. Klugon checks it when you save.

Names look wrong

Klugon splits the name the customer gave at the first space: the first word becomes the first name and the rest becomes the last name. If your audience has removed the standard first and last name fields, Klugon adds the contact without names rather than failing.

Reliability and timing

Contacts are sent as soon as the lead is saved, separately from the conversation, so the customer never waits for Mailchimp. If Mailchimp doesn't respond within a few seconds, or rejects the request, that contact isn't added. Klugon doesn't retry and doesn't show failed contacts in the dashboard. The lead itself is always saved in Klugon, along with whether the customer agreed to marketing, so you can add anyone who was missed by hand.

What the Mailchimp connection doesn't do

  • No emails from Klugon. Klugon doesn't send campaigns, newsletters or follow-ups. Any email comes from your Mailchimp account and its settings.
  • No consent without a clear yes. The assistant doesn't assume agreement, and phone or manual leads are never marked as consenting.
  • No resubscribing. Unsubscribed contacts stay unsubscribed.
  • No phone numbers, notes or bookings. Only email, name, the tag and the new-contact status are sent.
  • No sync back. Opens, clicks, unsubscribes and audience changes in Mailchimp don't flow back to Klugon.
  • One audience. Klugon adds contacts to a single Mailchimp audience per business.
  • No retries. A contact that fails to send is not resent.

How Mailchimp fits with Klugon's other connections

  • Notion adds a database row for each new lead, whether or not they agreed to marketing.
  • Slack posts an alert when a lead arrives.
  • Zapier passes leads to other apps, with the marketingConsent field included so you can respect it there too.

Like Notion, Mailchimp is a direct connection and doesn't need Zapier. You can see every option on the integrations page.

Frequently asked questions

Does this go through Zapier?

No. Klugon connects to Mailchimp directly with your API key and Audience ID.

Will everyone who chats be added to my list?

No. Only leads with an email address are considered. Those who clearly agreed to marketing are added as pending and must confirm by email. Others are skipped by default, or added as transactional contacts if you choose that option.

Why do new contacts show as pending?

Because Klugon uses double opt-in for people who agreed to marketing. They become subscribed when they click the link in Mailchimp's confirmation email.

Will the assistant ask people to join my newsletter?

Not unless you tell it to. Add a line to the assistant's custom instructions asking it to offer your email list. It only records consent when the customer clearly says yes.

Can Klugon trigger Mailchimp email sequences?

Klugon only adds the contact and the Klugon tag. If you want a sequence, set up an automation in Mailchimp that starts from that tag or from joining the audience.

Are phone callers added?

Only if the caller gave an email address, and never as consenting contacts. With the default setting, they're not added at all.

Does Klugon send phone numbers to Mailchimp?

No. Only the email address, first and last name, the Klugon tag and the status for new contacts are sent. Phone numbers and notes stay in Klugon.

What does Send test do?

It checks that Klugon can reach your audience with the key you saved. It doesn't add a contact.

Can I send leads to more than one audience?

No. Klugon adds contacts to one audience per business. Within that audience, the Klugon tag makes those contacts easy to find and segment. To change audience, paste a new Audience ID on the Mailchimp card and save.

Will Klugon overwrite an unsubscribe?

No. Existing contacts keep their subscription status. Klugon only updates their name and adds the tag.

Mailchimp chatbot lead capture works best when the list grows only with people who asked to be on it, and that is how Klugon's connection is built. Connect it on a voice or social Business plan from the pricing page, check your confirmation email, and decide what the assistant should say when it offers your newsletter.
