Fresha alternative: when Klugon fits, and when to keep Fresha

Fresha is salon and spa software with a booking marketplace, payments, reminders and a till. Klugon is an AI receptionist for calls and messages. For most salons the honest answer is to run them side by side, not to swap one for the other.

The phone rings while you're halfway through a balayage. Your hands are covered in lightener, the client in the chair is chatting, and the caller wants to know if you can fit in a fringe trim on Saturday. You let it ring out. Later you see three Instagram DMs asking about prices and one WhatsApp asking whether you do patch tests on Sundays. Your Fresha diary is fine. It's everything that arrives before a booking that's slipping. If that's why you searched for a Fresha alternative, this page is for you.

We'll be straight about it. Klugon is not a like-for-like replacement for Fresha. Fresha runs your diary, takes card payments and deposits, sends reminders, sells products at the till and lists you on a consumer marketplace. Klugon does none of those last four. What Klugon does is answer the phone and your messages with an AI receptionist, answer questions from what you've written down, capture details and book simple appointments into its own calendar.

So for most salons, barbers and spas already on Fresha, the sensible setup is both: Fresha stays the diary and the till, and Klugon picks up the calls and DMs you can't. For a smaller group of businesses that only need simple appointments and mostly want the phone answered, Klugon on its own may be enough. We'll show you how to tell which group you're in, and how to avoid the one real risk of running two systems: double bookings.

Fresha details on this page come from Fresha's own website and help centre, checked in October 2026. Where Fresha doesn't publish something, we say so.

The short verdict

Keep Fresha if you take deposits or no-show fees, rely on automatic text or email reminders, sell retail at a till, get new clients through the Fresha marketplace, or have a team whose diaries all live in Fresha. Klugon can't do those jobs. Fresha also now sells its own AI phone add-on, AI Concierge, which books straight into the Fresha calendar and can hand calls over to your team. If phone answering is your only gap and you're happy in Fresha, look at that add-on first.

Add Klugon alongside Fresha if your gap is the conversations that happen before a booking: calls you miss, WhatsApp messages, Instagram and Facebook DMs, and website chat. Klugon answers all of those in one inbox, in nine languages on the phone, and can send callers your Fresha booking link so the appointment still lands in Fresha.

Use Klugon instead of Fresha only if your bookings are simple (one service, one person, a fixed length), you don't take deposits, you don't need reminders sent for you, and what you mainly want is a receptionist who never lets the phone ring out. A mobile nail tech or a solo massage therapist might be in this group. A busy colour salon usually isn't.

What Fresha is

Fresha is software for salons, barbers, spas, clinics and other appointment-based beauty and wellness businesses. You get a calendar for your team, online booking, client profiles, a point-of-sale till, card payments and marketing tools. Clients can find you on the Fresha marketplace, through your own booking link, or through booking buttons on Facebook and Instagram.

Its pricing is a subscription plus usage. On the version of the pricing page we saw, the Independent plan covers one bookable team member and a single calendar column. The Team plan is charged per bookable team member and adds multiple calendar columns and phone support. An Enterprise tier with custom rates is aimed at businesses with more than 20 team members.

As of October 2026, on top of the subscription, Fresha's pricing page lists:

  • Payments. Online and in-person card payments at 1.29% + €0.20 per transaction on the euro page, with separate rates for tap to pay and buy-now-pay-later. Card terminals are sold separately.
  • Messages. Automated email and app notifications are free and unlimited. Each plan (or each team member on Team) gets 20 free automated texts or WhatsApp messages a month, then pays per message.
  • Marketplace. Bookings through your own link, Facebook and Instagram carry no fee. A one-time fee applies to brand-new clients who find you through the Fresha marketplace. The amount isn't stated on the pricing page; returning clients carry no fee.
  • Add-ons. Paid extras such as loyalty, Google rating tools, a website builder and accounting sync.

Fresha also has an AI phone product. Its AI Concierge help article says it answers calls, books or reschedules appointments directly in your Fresha calendar, answers common questions from your business details, works with your existing number or a new one, hands calls to your team when they need to reach you directly, and takes a message outside the hours you set. It's sold as an add-on, and Fresha's AI Concierge help section covers setup. We couldn't find its price on the version of the pricing page that loaded for us, so treat the price as "check with Fresha".

Who Fresha suits best

Fresha is built for exactly the business that has a full diary and a team to manage. It suits you if:

  • you have several stylists or therapists, each with their own column and services;
  • you take deposits or card-on-file for colour, extensions or long treatments, and charge for late cancellations;
  • you want clients to get booking confirmations and reminders without you sending them;
  • you sell retail at the desk and want sales and services in one till;
  • new clients find you through the Fresha marketplace and you're happy with the new-client fee;
  • you want the AI phone answering to write straight into that same diary.

None of that is a weakness Klugon can fix. If those are the reasons you joined Fresha, they're the reasons to stay.

Is Klugon a Fresha alternative, or an add-on?

For most readers, an add-on. Klugon is a different kind of product. It is an AI receptionist that sits in front of your diary and talks to people: callers, WhatsApp messages, Instagram and Messenger DMs, and visitors to your website chat. It answers from what you upload or paste into its knowledge base, captures a name and number when someone wants a call back, and can book appointments into its own built-in calendar.

The phrase "its own" matters. Klugon does not connect to Fresha. It can't read your Fresha diary, and it can't write to it. That leads to the most important section on this page.

The double-booking risk, explained exactly

If you let Klugon book appointments while Fresha is also taking bookings for the same chair, you will eventually get two clients for one slot. Here's why, in plain terms.

How Klugon decides a slot is free. Klugon's booking tool checks its own list of bookings against the opening hours, timezone, slot interval, buffer between bookings, minimum notice, booking window and closed dates you set in Klugon. It knows each service's length and which staff member does it, and checks conflicts per staff member. Cancelled bookings free their slot. All of that happens inside Klugon.

What Klugon doesn't see. Appointments made in Fresha, by your front desk, through the marketplace or by a returning client on your booking link, don't exist in Klugon. Klugon will happily offer 2pm on Saturday with Jade because, as far as Klugon knows, Jade is free.

What about calendar sync? Klugon can connect Google Calendar, Outlook, Apple Calendar or Calendly on the voice or social Business plan and above. But its main booking tool does not check or write those external calendars. There are separate calendar tools the AI may use, and an event is only pushed to an external calendar when the AI chooses to sync it. If an external calendar check fails, the slot is treated as free. That is not reliable two-way sync, and in any case Fresha isn't one of those calendars.

What the client receives. When Klugon books, the client gets a confirmation and a reference in the same conversation, on the call or in the chat. Klugon doesn't send a confirmation email, text or WhatsApp afterwards, and it doesn't send reminders. Fresha's reminder flow won't know about the booking either, unless you enter it in Fresha.

Three ways to manage it

1. Klugon answers, Fresha books (recommended for most salons). Don't turn on booking in Klugon at all. Instead, add your Fresha booking link to Klugon's links library. When a caller or messager wants an appointment, Klugon answers their questions (prices, how long a full head of foils takes, whether you need a patch test 48 hours before), then sends the link in WhatsApp, Instagram, Messenger or website chat. On a phone call, it takes their name, number and what they want, saves it as a lead and flags it for your team. There is one diary, so there's nothing to double-book.

2. Split the capacity. If you want Klugon to take some bookings itself, give it a slice of time that Fresha never offers online. For example, a barber might set Klugon's opening hours to late Thursday evenings only, and close those hours to online booking in Fresha. Klugon books that slice; someone copies each booking into Fresha the same day so the till and the client record stay complete. On voice or social Business plans and up, Klugon posts every new booking to Slack or Zapier, which makes the copying step hard to forget. It's still manual, so this only works with discipline.

3. Move fully to Klugon's calendar. If you leave Fresha, there is one diary again: Klugon's. This only suits businesses whose needs fit the "use Klugon instead" list in the verdict. You'd give up deposits, reminders, the till and the marketplace.

Price model compared

The two products charge for different things, so a straight price comparison is misleading. Fresha charges per bookable team member and takes a share of card payments. Klugon charges a flat monthly fee for each product you use, with an allowance of minutes or conversations.

Klugon's pricing, in US dollars:

Klugon productStarterBusinessScale
AI voice agent (phone)$99/month, 1,000 minutes$299/month, 3,600 minutes$499/month, 6,000 minutes
AI social agent (WhatsApp, Instagram, Messenger)$79/month, 300 conversations$249/month, 1,500 conversations$449/month, 3,500 conversations
AI chatbot (website widget)$49/month, 100 conversations$149/month, 400 conversations$499/month, 2,000 conversations

Paying yearly takes 20% off. A phone number is $9 a month, and a connected WhatsApp number is $19 a month. Extra voice minutes are $15 per started 100 minutes. The Google Calendar, Outlook, Apple Calendar, Calendly, Slack and Zapier connections need a voice or social plan at Business level or above.

A worked example

Say you run a four-chair salon on Fresha's Team plan. Your problem is the phone during the Saturday rush and Instagram DMs on Sunday evenings. Assume:

  • 25 calls a day, six days a week, averaging three minutes each, which is roughly 1,950 minutes a month;
  • about 200 Instagram and WhatsApp conversations a month.

Running both, you'd keep Fresha as it is and add Klugon's voice Business plan ($299, 3,600 minutes) plus the social Starter plan ($79, 300 conversations), plus $9 for the number and $19 if you connect WhatsApp. That's $406 a month, or less on yearly billing. If most calls are short, the voice Starter plan's 1,000 minutes might cover the calls the AI actually picks up, especially if you forward only when busy or after hours.

Compare that with what a missed call is worth to you. If one in five missed calls was a client who'd have booked a £60 cut and you miss 30 a week, the maths isn't hard. Use your own numbers, not ours. Our AI receptionist cost guide walks through the method.

The other option is Fresha's own AI Concierge. It has the big advantage of writing straight into your Fresha diary. Its price wasn't on the version of the pricing page that loaded for us, so ask Fresha before comparing.

What's included

What you get with Fresha

The core of Fresha is the diary: staff columns, services, durations, online booking and client profiles. Around it sit payments (including upfront payments and no-show and cancellation fees), point of sale, automated notifications and marketing tools. Paid add-ons extend it with loyalty, rating tools, a website and accounting sync. AI Concierge adds phone and message answering inside Fresha.

What you get with Klugon

  • An AI receptionist on the phone. It answers inbound calls whenever a plan is live and a number is routed, day or night, and can be interrupted mid-sentence like a person.
  • The same assistant on messaging. WhatsApp, Instagram DMs, Facebook Messenger and a website chat widget, all landing in one inbox.
  • A knowledge base. Upload PDFs, Word files or text, paste FAQs and policies, or scan up to eight pages of your website. The assistant answers from that, and hands over when it doesn't know.
  • Built-in booking. Services with durations, staff, opening hours, buffers and closed dates; the AI can check slots, book and cancel. In chat and messaging it can also reschedule. See AI appointment booking for the detail.
  • Leads and customers. The AI saves callers who want a call back as leads, with statuses and CSV export.
  • Notifications to you. New leads, bookings and handovers post to Slack or Zapier on voice or social Business plans and up. Klugon doesn't send email or push alerts to you.
  • Analytics. Calls, minutes, bookings, leads, busiest hours and channel split.

What neither replaces

Klugon has no till, no card payments for bookings, no deposits, no reminders and no marketplace. Fresha's AI Concierge covers calls and, according to Fresha's help centre, replies to messages in Fresha's own client messaging. The pages we checked don't spell out which outside channels, such as Instagram or WhatsApp DMs, it answers, so check with Fresha for your country.

Channels

Clients of salons don't only phone. A lot of them DM a photo of the colour they want and ask "how much for this?" at 11pm.

Klugon covers:

  • Phone. Inbound calls only. You can buy a number, or keep your existing number and forward calls to a Klugon number with your carrier's call forwarding (all calls, or only when busy or unanswered). There's a guide to keeping your number with call forwarding.
  • WhatsApp. Through Meta's WhatsApp Cloud API, using your own WhatsApp Business number. Setup needs a Meta app and an access token. See WhatsApp AI chatbot.
  • Instagram and Messenger. Through your Facebook Page and a professional Instagram account. Instagram needs Meta app review before members of the public can message the bot. See Instagram and Messenger automation.
  • Website chat. Paste one script tag and a text chat appears. For voice in the browser, embed or link to the hosted assistant page instead.

Fresha's channels are built around getting a booking made: the marketplace, your booking link and booking buttons on Facebook and Instagram. Its AI Concierge then covers calls. If your clients mostly book online and rarely ring, Fresha already has you covered. If they ring and DM a lot, Klugon covers the conversation side.

Booking

Fresha is the stronger booking system, and it isn't close. It has a full multi-staff diary, online booking, payments at the point of booking, and reminders.

Klugon's booking is simpler but real. You list services with durations, assign staff, set opening hours and a slot interval (from 10 to 120 minutes), add a buffer after appointments, a minimum notice period and how far ahead people can book, and mark closed dates. The AI offers only slots that fit those rules, and books them. The client gets a booking reference in the conversation. On the phone the AI can book or cancel; in chat and messaging it can also reschedule. You can edit, cancel or delete bookings in the dashboard, with a conflict check.

What Klugon booking doesn't do:

  • send a confirmation email, text or WhatsApp afterwards;
  • send reminders;
  • take a deposit or charge a no-show fee;
  • book into Fresha.

That's why we recommend option 1 above, "Klugon answers, Fresha books", for most Fresha salons. Our guide on how to reduce no-shows at a salon covers the reminder and deposit side, which Fresha does and Klugon doesn't.

Handover to staff

This is the other area where Fresha's AI add-on is ahead.

Fresha. According to Fresha's help article, AI Concierge hands calls over to your team when callers need to reach someone directly, and you set when you're available. Outside those hours it takes a message.

Klugon. Klugon can't put a caller through to a person. When a conversation needs a human, such as a colour correction quote, a complaint or an allergy question, the AI marks it as needing a person, shows a "Needs a person" banner in the inbox, and, on voice or social Business plans and up, posts to Slack or Zapier. On WhatsApp, Instagram and Messenger you can reply from the Klugon inbox within Meta's 24-hour window. Phone and website chat conversations can't be replied to from the inbox, so you'd ring the client back from the number they left. The AI isn't paused when you reply, so keep that in mind. There's more on this in handing calls to staff.

If live transfer to the salon floor matters to you, that's a point for Fresha's AI Concierge.

Setup

Fresha. You sign up, add your team, services and prices, and import clients. Payments and terminals need their own setup. AI Concierge is enabled as an add-on and uses your business details from Fresha, which saves typing.

Klugon. You sign up and start a 7-day trial on the product you want, with a card (you're charged when the trial ends unless you cancel). Then:

  1. Create an assistant, choose a voice and write a greeting.
  2. Add your services, durations and staff, or leave booking off if Fresha will keep doing it.
  3. Fill in the knowledge base: price list, patch-test policy, cancellation policy, parking, what to bring.
  4. Add your Fresha booking link to the links library.
  5. Test the assistant in the browser during the trial.
  6. After the trial, buy a number or forward your existing one.
  7. Connect WhatsApp, Instagram or Messenger if you want them (these need Meta setup).

During the trial you can't attach a phone number. You can test the voice assistant in the browser.

Contract and trial

Fresha's pricing page describes monthly subscriptions with no minimum commitment, a 7-day free trial on the Independent and Team plans, and, according to its FAQ, no credit card needed to start.

Klugon is monthly or yearly, and you can cancel. The 7-day trial needs a card and is one per product per business. Phone numbers activate after the trial.

Where Fresha is the better choice

Be honest with yourself about this list. If two or more of these apply, keep Fresha.

  • Deposits and no-show fees. Fresha takes upfront payments and charges cancellation and no-show fees. Klugon doesn't.
  • Reminders. Fresha sends automatic notifications, and texts or WhatsApp messages after a free allowance. Klugon sends no reminders and no texts.
  • Point of sale. Fresha is your till for services and retail. Klugon has no till.
  • Marketplace. New clients can find you on Fresha's marketplace. Klugon has no consumer marketplace.
  • One diary for a whole team. Fresha's calendar is built for multi-staff salons with complex services. Klugon's booking is fine for simple appointments, but it has no deposits, reminders or till behind it.
  • AI phone answering that writes into Fresha. AI Concierge books and reschedules directly in your Fresha calendar, so there's no double-booking risk.
  • Live call handover. Fresha says AI Concierge hands calls to your team. Klugon flags them instead.

Where Klugon is the better choice

  • All your messaging channels in one inbox. Calls, WhatsApp, Instagram DMs, Messenger and website chat are answered by one assistant with one knowledge base.
  • Nine phone languages. Klugon answers calls in English, German, French, Spanish, Italian, Portuguese, Dutch, Japanese and Arabic. Useful for salons in tourist areas or with international clients.
  • Answers from your documents. Upload your price list PDF, aftercare sheets and policies, and the assistant answers from them. It hands over when it doesn't know.
  • You're not on Fresha, or don't want a marketplace. A mobile therapist or a small studio that books by phone and DM can use Klugon's built-in calendar without signing up to a marketplace.
  • Lead capture. Callers who aren't ready to book are saved as leads with a status, which you can export or send to HubSpot, Zoho or Pipedrive on higher plans.
  • Flat pricing per product. You know your monthly bill, with clear overage rules for voice minutes.

Switching steps, or adding Klugon alongside

Most readers will do the first set of steps. Only follow the second if you're leaving Fresha.

Adding Klugon next to Fresha

  1. Decide who books. Pick option 1 (Klugon answers, Fresha books) unless you have a strong reason for another.
  2. Write the knowledge base. Start with the questions your front desk answers ten times a day. Our guide on what to teach your AI receptionist has a checklist.
  3. Add your Fresha booking link to Klugon's links library, so the assistant shares it in messages.
  4. List the calls the AI must hand over. Complaints, colour corrections, allergic reactions, anything medical in an aesthetics setting.
  5. Connect Slack or Zapier (voice or social Business plan and up) so new leads and handovers reach you somewhere you'll see them.
  6. Test in the browser during the trial, playing a few awkward callers.
  7. Go live on the phone after the trial: forward busy or unanswered calls first, then all calls once you're happy.
  8. Check the inbox weekly for "questions without a good answer" and add them to the knowledge base.

Moving off Fresha to Klugon

  1. Export your client list and future appointments from Fresha before you cancel.
  2. Recreate your services, durations and staff in Klugon.
  3. Re-enter future appointments in Klugon's dashboard, or keep Fresha running until they've passed.
  4. Tell clients about your new booking route: phone, WhatsApp or your website chat.
  5. Accept that you'll lose deposits, reminders and marketplace bookings, and plan how you'll handle no-shows without them.

There's a broader view of what Klugon does for beauty businesses on the AI receptionist for salons page, and specific pages for hair salons and barbers. If you're weighing up Booksy instead, see our Booksy alternative comparison.

A sample call alongside Fresha

A sample call. The salon and the caller are made up.

In this setup, Klugon never books. It answers the price question from the price list, mentions the patch-test rule from the knowledge base, points the caller to the Fresha link (it can't text the link during a call; in WhatsApp or Instagram it would paste it), and when the caller wants a person it saves a lead and flags it for the team.

How to tell if it's working

Give it four weeks and look at:

  • Missed calls before and after. Your phone bill or carrier dashboard shows this.
  • Leads in Klugon. How many callers left details, and how many you turned into Fresha bookings.
  • Handovers. Klugon's analytics show the share of conversations handled without a person. If handovers are high, the knowledge base has gaps.
  • Questions without a good answer. Klugon's insights page lists them. Fix the top five each week.
  • Marketplace fees. If more clients now book through your own link because Klugon sent it, your marketplace new-client fees may drop.

Frequently asked questions

Is Klugon a Fresha alternative?

Partly. Klugon replaces the receptionist side: answering calls and messages, answering questions and booking simple appointments into its own calendar. It doesn't replace Fresha's payments, deposits, reminders, till or marketplace. Most Fresha salons use Klugon alongside Fresha.

Does Klugon integrate with Fresha?

No. Klugon can't read or write your Fresha diary. That's why we suggest letting Fresha keep all bookings and having Klugon send your Fresha booking link and take messages.

Can Klugon and Fresha double-book the same slot?

Yes, if both are allowed to take bookings for the same staff at the same times. Klugon only checks its own bookings. Either turn Klugon's booking off and send the Fresha link, or give Klugon a block of time Fresha never offers online and copy those bookings across by hand.

Does Klugon send appointment reminders like Fresha?

No. Klugon gives the client a booking reference in the conversation and nothing after that: no reminder emails, texts or WhatsApp messages. Fresha sends reminders, so keep bookings in Fresha if reminders matter to you.

Should I use Fresha's AI Concierge or Klugon?

If you want AI phone answering that books straight into Fresha and can hand calls to your team, Fresha's add-on has the edge. Klugon makes more sense if you also want WhatsApp, Instagram, Messenger and website chat answered by the same assistant, or calls in languages such as German, Arabic or Japanese.

Can Klugon take deposits for colour appointments?

No. Klugon bookings have no payment step, so there are no deposits or no-show fees. Fresha does both.

Can I keep my salon's phone number with Klugon?

Yes, by call forwarding. Klugon gives you a dedicated number and you forward your existing line to it, all the time or only when busy. Numbers can't be ported, and they're only available after the 7-day trial.

How much does Klugon cost next to Fresha?

The voice plan starts at $99 a month for 1,000 minutes, plus $9 a month for a number. Messaging starts at $79 a month and website chat at $49. You keep paying Fresha as before. See Klugon pricing for all tiers.

Try Klugon's AI receptionist on your own calls and messages

Seven days free, and you can cancel anytime before you're charged. Plans start at $99 a month.
